Pathology Science OÜ offers continued medical education courses and other services to help medical professionals to keep themselves up-to-date with the latest developments in their fields. Pathology Science OÜ is committed to supporting the privacy of individuals who participate in our activities or connect with us. We are also committed to the privacy of the patients whose cases may be used for case-based medical education. This Privacy Statement explains how we handle and use the personal information of our customers and patients.

What personal information do we collect?

While specific information may vary for particular individuals and services, we may collect, use, store and transfer different kinds of personal information about you. We collect basic contact information about you and your representative organization, including name, title, business addresses, phone numbers, email addresses, as well as payment information.

For users of our site, we collect and process analytical information – aggregated information related to web visitor activity.

A significant portion of the information we collect is that which you have provided to us when registering for a course, service or communicating with us via web-forms or E-mail. We may also augment the information we collect about you from targeted internet searches and may use third party sources if this is essential for us in order to give you the contracted services.

  • Provide you with the courses and services which you have contracted.

  • Send you information about other Pathology Science OÜ’s offerings which may be of interest to you in case you have consented to this previously.

  • Conduct polls and surveys for identifying needs of our learners and for quality assessment.

  • Perform administrative tasks and for internal record keeping purposes.

  • Create and analyze aggregated (fully anonymized) information about our Attendees and site visitors for statistical purposes in support of our educational mission, including our legal obligations for reporting to relevant authorities.

We will never send unsolicited advertising to you. If you have subscribed to our newsletter and course updates, you can unsubscribe at any moment. Please note that if you are enrolled to our courses or contracted a service, you may still continue to receive non-marketing communications such as invoices, payment reminders, program change information, etc.

Sharing your information with third parties

To perform the functions listed above, it may be necessary to share your personal information with third parties under contract with us. Our contracts with partners who are not subject to GDPR will always include terms and conditions on handling personal information. We are legally obliged to share your personal information (such as name, country and institution) with our sponsors in case the sponsor deems them necessary to comply with Financial Transparency Requirements of their educational grants, that is with all applicable laws, regulations and industry codes related to the collection and reporting of any payments or transfers of value to certain healthcare providers, institutions and teaching hospitals.

We do not, under any circumstances, rent or sell your personal information to any outside third party. We do not share data that is not essential for complying with the Financial Transparency Requirements or other legal requirements imposed on us.

Our site(s) and service(s) may contain links to other sites whose information practices may be different than ours. Visitors should consult the other sites’ privacy policies as we have no control over information that is submitted to, or collected by, these third parties.

How do we store personal information?

Pathology Science OÜ uses well established GDPR compliant providers to store your personal information. We use firewalls and regular monitoring to evaluate any attempts at accessing the systems without permission.

How long do we keep personal information?

If you have subscribed to our newsletters or updates, we will maintain a record for you until you unsubscribe from the service. If you no longer wish to hear from Pathology Science OÜ, we will retain a core set of information that is required in order to fulfil administrative tasks and legal obligations. If you have not subscribed to our newsletters or updates, your contact information will be deleted 3 months after the course you attended, unless otherwise required by external transparency regulations.

According to European Union’s General Data Protection Regulation, you have the right to access your personal information, correct or erase information and restrict our processing of your data. In order to do so, you will need to contact us directly and we may need to verify your identity before we proceed in order to protect the data we collect. In case you request to erase information, we will still maintain essential personal data to ensure our compliance with all relevant legal and financial regulations. You also have the right to lodge complaints with your national or regional data protection authority. However, we recommend you contact us first to see if we can solve the issues quicker than that.

How do we protect the integrity of the patients?

Medical education is impossible without real-life-based cases for training. However, these should never compromise the privacy of the patients. Our Educators are liable for securing that all material used in their activities under Pathology Science OÜ is compatible with the legal regulations on personal information and informed consent in the country of origin and does not infringe on the privacy of the patient. All data that allows identifying a patient needs to be removed before using it in our activities, irrespective of the legislation in the country of origin of the patient, clinic and medical practitioner. In case Pathology Science OÜ detects identifiable personal information in any of the materials used in our activities, we reserve the right to remove the material immediately without the consent of the Educator. In the event that any of our Attendees or Visitors identifies such materials, Pathology Science OÜ removes the material as soon as technically possible after receiving the information on the infringement. Repeated or deliberate negligence with patient information may lead to terminating the contract with the Educator.
